Join our team as a Water Quality and Public Works Administrative Assistant, providing essential administrative support to the Water Quality and Public Works Superintendents. This role involves a variety of tasks to ensure the smooth operation of our water quality and public works departments, including maintaining records, managing databases, and assisting with special projects.


The wage for this position is $20.90 per hour.

To provide broad administrative support to the Water Quality Superintendent, Public Works Superintendent and the respective water quality (wastewater, sanitation, stormwater) and public works (sanitation, water, streets) departmental operations.

Essential Functions and Responsibilities

  • Develop and maintain filing systems (paper and electronic), records, forms and procedures
  • Develop and maintain databases, including those for tracking wastewater capacity, curb stops, water breaks, water meters, sewer back-ups, facility power use, etc.
  • Provide general office support, including answering phones, retrieving/sorting mail, researching pricing, and ordering supplies.
  • Manage accounts payable invoices, including upload to software for approval
  • Develop and distribute bids, requests for proposals, and other similar documents.
  • Research deeds and easements as needed for water quality projects.
  • Prepare and issue monthly septage and leachate bills in coordination with finance staff
  • Assist with grant reimbursement requests as needed
  • Assist with other specialty projects related to the administration of the Water Quality and Public Works departments
  • Prepare department timesheets for payroll processing by finance.


  • High School diploma/GED plus two to three years experience in clerical and office management with computer and database work or a combination of education and experience from which comparable knowledge and skills are acquired
  • Strong understanding of Microsoft programs, especially Excel, Adobe PDF Editor, and electronic filing systems
  • Understanding of computer systems
  • Strong grammar, spelling, and mathematical skills
  • Ability to work independently and as part of an interdisciplinary team
  • Ability to interact with various individuals courteously and efficiently, including City officials, residents, and outside organization representative
  • Strong organizational skills
  • Ability to use discretion in handling confidential information.
